We are seeking an experienced Executive Administrative Assistant to join our team. The Executive Administrative Assistant will provide high-level administrative support to advance the mission and vision and Cornerstone Advocacy Service.
Experience/Qualifications:
The Executive Administrative Assistant will have a pivotal role in providing administrative support and ensuring a smooth and efficient process for executive-level activities. This position will be responsible for managing schedules, coordinating meetings, handling correspondence, and providing administrative support to the Board of Directors. The ideal candidate will be a detail-oriented, professional individual with exceptional organizational skills and the ability to thrive in a complex, fast-paced environment.

Job Summary:

Required Skills
- Minimum of associate degree or higher
- Three to five years of experience as Executive Assistant or Administrative Assistant and Office Administrative Experience
- Strong attention to detail, organizational skills, planning, follow-through, and prioritization skills
- Excellent interpersonal skills and the ability to collaborate across departments and with community partners
- Working knowledge of Microsoft Office Suite, and Zoom and are technologically savvy.
- The ability to problem solve, apply critical thinking and independently manage tasks with minimal supervision.
- Managing the Executive Director’s workflow, including the triage and prioritization of requests.
- Providing logistical support for internal and external organizational events
- Serving as a thought-partner to the ED, and leadership team, challenging ideas and offering a different perspective.
- Maintaining calendar by anticipating calendar requirements, keeping the calendar up to date, arranging travel logistics, sending reminders as needed, and scheduling appointments, meetings, or conference calls.
- Maintaining paper and electronic filing systems, preparing meeting materials, coordinating meeting logistics, and taking the lead on copy editing.
- Managing and processing expense reports and credit card statements.
- Assistance with maintaining Executive Director's professional social media presence
- Arrange and manage all materials related to service on Boards and committees
- Managing and preparing Board activities with the Executive Director by scheduling meetings, preparing materials, managing meeting logistics, recording meeting minutes, and other administrative board-related projects as needed
- In collaboration with the Board Secretary retaining, maintaining, and managing the organization's Board information, both historical and current. Following governance requirements for accurate record-keeping
- Coordinating travel with itineraries and expense reports for Executive and Associate Director
- Coordinate special projects for the offices
- Conduct research to inform and initiate new processes to enhance administrative operations
- Process department’s invoices and monthly expenses
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to lift up to 20 lbs.
